INTERIOR DESIGN PROJECT COORDINATOR AND ADMINISTRATOR
Cécile & Boyd - Interior Design Project Coordinator and Administrator - Cape Town
We are looking for an Interior Design Project Coordinator and Administrator to join our team at Cecile & Boyd in Cape Town. You will be responsible for all administrative tasks relating to projects, the delivery of all procurement including procurement scheduling, logistics, and cost tracking, and play a Key role in documentation and file management.
Responsibilities:
Coordinate project procurement: Negotiate trade discounts, generate and distribute purchase orders, confirm lead times, Manage supplier contracts, manage supplier payments, invoicing, etc.
Manage procurement documentation, maintain schedules and project filing for procurement - including digital project filing and hardcopy binders.
Produce project procurement reports, project cost analysis - reporting on all project related expenses.
Create schedules / contractor reports. (all from Estimate).
Provide support onsite, meeting contractors and site surveys.
Coordinate deliveries and assist with installation.
Final project handover, household manual and cleaning manuals.
Custom Orders:
Secondary vendor liaison on custom orders (generally after quoting... This would include sending control samples to vendors, requesting finish samples for approval, manage CFA's and sampling for approval. Including follow ups for further sampling if required. Assist with follow up on vendor drawings for approval. When orders complete, requesting control images for approval, Follow up on ETA's. Requesting invoices, coordinate delivery).
Review invoices with project manager for final sign off.
Direct queries to designers requiring design input.
It would be beneficial to have someone:
With some industry knowledge – basic understanding of the difference between mm / cm and m. Able to open drawings and measure / basic drawing skills to make simple updates as and when the scope changes / sizes change. Basic functions as part of data capture.
Someone with some UK procurement experience, who might be familiar with various fabric houses, international shipping protocols etc.
